Estates Administrator

SF Group are looking to recruit an Estate and H&S Compliance Administrator for a prestigious school on the outskirts of Birmingham City Centre. This is a permanent role paying up to 19500. The position of Estate and H&S Compliance Administrator is an important role in the School. The role covers providing administrative support to the Estate Manager and her team and ensuring that the H&S compliance is accurately recorded in an organised, accessible manner. The Estates Administrator is often the first point of contact for staff to report both maintenance and H&S issues. It is essential that the successful candidate is resilient and calm under pressure. Responsibilities:

- Dealing with queries regarding maintenance and projects
- Provide updates on maintenance jobs where appropriate using the school maintenance management system (Spiceworks)
- Liaise with the Finance Department to ensure Purchase Orders are raised appropriately and invoices approved in a timely fashion
- Manage internal and event booking arrangements, communicating with all interested parties
- Booking contractors for both routine and one off assignments
- Assist in preparation of papers for the Estates Committee meeting
- Minute the weekly Estate Team meeting
- Support the Estate team in placing orders and chasing deliveries
- Support the Estate Manager in recruiting new team members such as cleaning staff ensuring appropriate checks and records are maintained
- Research projects and collate information for presentation to the Estate Manager and Bursar

H&S Compliance Responsibilities

- Prepare and maintain records of risk assessments for the site
- Provide support to staff as required in preparing risk assessments
- Maintain fire records, ensuring that weekly testing is completed and log books updated
- Maintain an incident record. Ensure that the Estate Manager is aware of significant incidents and is able to monitor accident trends
- Book relevant training for the Estates team. Maintain a record of training attended
- Ensure mandatory training for all staff is scheduled and assist the Estate Manager in preparing/booking the relevant training
- Ensure external contractors are informed and abide by the School's H&S Policy
- Spread awareness of policies, and promote observation of practices and procedures designed to ensure H&S compliance

The client is looking for someone with personality and drive. The successful candidate will be well presented with good IT skills. This role is full time 37.5 hours per week 8-4 or 9-5, 15-19.5k, has to attend 5 Saturdays per year due to events, free lunch, health cash plan and a contributory pension scheme, 5 weeks holiday per year (not mandatory holidays).
