Office Coordinator

OfficeTeam are currently working closely with a West End based Investment Firm to recruit an enthusiastic and hardworking office coordinator.

The ideal candidate will have experience supporting a professional, successful team in a financial services environment and be experienced in office administration and confident to liaise at all levels. This role is offering up to 26,000 plus benefits and fantastic working culture.

The key focus for this role is to provide administrative support, organise meetings, reporting, and travel scheduling and other ad hoc support. You will have excellent attention to detail and be highly accountable and used to working in a boutique, professional environment. In addition you should thrive on independent working and using your own initiative.

Responsibilities include:

Minute taking at various board meetings

Assistance with planning and booking overseas travel

PowerPoint - support with preparing various marketing presentations

Admin support on large projects (new fund launches, large client pitches)

Management of all supplier invoices, reviewing costs charged and liaising the out-source bookkeeping team in India

Publishing factsheets for each fund (excel knowledge essential) and uploading onto Website

Tracking compliance completion and maintaining records in the compliance file

Co-ordinating webinars and other marketing activity

General procurement - printing, stationery, office supplies

Preparing expense claims for team

Your Profile:

The ideal candidate for this opportunity will have a minimum of 1 year corporate office experience within a professional environment, be highly organised and have the ability to work proactively and using their own initiative in a boutique office. You will have the ability to multi-task, be flexible and have strong IT skills. Attention to detail and a high level of numeracy are key.
